An hourly meeting room booking should make your meeting easier, not add another thing to manage. Most of the value comes from decisions you make before you arrive. Here’s how to get the most from an hourly booking at ViOS, from choosing the room to the last ten minutes of the meeting.
Pick the room for the screen, not just the seats
Headcount is only half the question. The other half is how many people will join remotely. A 6-person room with a 65-inch monitor works for a pitch with everyone in the room. Add four remote colleagues and the 8-person room at ViOS Downtown, with its 75-inch monitor, becomes the better choice.
For larger hybrid meetings, the 12-person board room at ViOS Autograph runs a Logitech Rally system across dual 50-inch screens. For brainstorms, the Collaboration Room’s touch screen lets people draw on the display instead of just watching it. You can compare every room on our meeting rooms page.
Use the four-hour cap to your advantage
ViOS meeting rooms start from €20 per hour at Downtown and €25 per hour at Autograph and Psychiko, before VAT. You never pay for more than four hours in a day. That one rule changes how you should plan.
If your meeting runs past three hours, book the whole day. Add a buffer before guests arrive, keep the room for follow-up calls afterwards, and hold a second internal session in the same space. The cost stays the same once you hit four hours.
Arrive early and test the setup
Plan to be in the room 15 minutes before your first guest. Connect your laptop, open your slides and start a test call with a colleague. Check that the camera frames the whole table and that remote participants can hear people at the far end.
Most failed hybrid meetings fail in the first five minutes, while everyone waits for the screen to work. A short test removes that risk entirely.
Make it easy for your guests
Send guests the full address and the nearest transport. ViOS Downtown is a short walk from Panepistimiou and Omonia metro stations. ViOS Autograph in Marousi includes complimentary parking for the length of your meeting, which matters for clients who drive. Mention it in the invite so they don’t spend ten minutes circling the block.
Many rooms include free coffee and water, so you don’t need to arrange refreshments for a short meeting.
Book for the day of the week
Office demand isn’t spread evenly. Density’s workplace data shows Tuesday is the busiest office day of the week, while Friday is the quietest. If your date is flexible, book popular midweek slots early. If you want a quieter building and an easier choice of rooms, aim for later in the week.
Match the location to the meeting
Pick Downtown for central Athens and metro access, Autograph for Marousi and parking, and Psychiko for a calmer setting on Kifisias Avenue. Our comparison guides to meeting rooms in downtown Athens and meeting rooms in Marousi go into more detail.
